        HOW TO USE AJLI INFO-SYSTEM DATABASES

You'll find valuable information on the varied work of Leagues, and other useful information, in the Database section of AJLI Info-System. Here's how to get started using it.

From the Top (Main) Menu, choose the menu letter for AJLI Databases (which at this writing is letter E), and then hit <ENTER>. You'll then see the following screen:

For Databases 1-7, you then choose a database to "query," or search for information. For this example, let's look at the Community Activities Database. Type "1" and then press the <ENTER> key. You'll then see the following message:

Then several quick characters will flash by--probably too fast to read. Don't worry; the Doorway to the AJLI Database machine is being opened. Soon you'll see these messages:

Then you'll see the Database Query Form, which is a "worksheet" for you to fill in the specifics of your query.

You move through the "fields" (search criteria) on this screen one at a time, using the <ENTER> key. After the Activity Issue Code field, hit <ENTER> and you'll be placed on Page 2 of the worksheet for this query.

Now, let's create a query. As a general rule with databases, the fewer "fields" you enter information, the more "records" you'll include in your query. For instance, if you leave all the fields blank except for Page 1's "Activity Issue Code," you'll create a query of all the records in this database sent in by members that were coded for that activity. You can obtain a list of these codes by downloading the file CODES.TXT in the Community Programming Library (/COMMPROG) on AJLI Info-System.

For example, the community activities code for Senior Citizens Services is 0540. If you enter this code in the Activity Issue Code field, the database will collect all the records coded to senior citizens services.

When finished, process your request by hitting the CTRL-R key combination. You'll see a screen similar to this. Don't worry if it takes more than a minute to display all this text. The database engine is searching for the records that match your criteria:

 Note that it's possible that your query might come up empty--that is, your criteria excluded all records in the database you're querying. In that case you'll see a message similar to

 You've been told the name of the new file with your information--in this case, ACT2.TXT--both just before you enter the query worksheet area, and as you leave. You can go back and create a new query now, or move on. Either way, you'll see the Database Menu again:

However, it may be more convenient to do all your downloads at a later time. You may want to do other work during the current BBS session, such as look through a library for files to download. If so, you can (T)ag the query file(s) for later download..

To do this, at the QUERIES menu (shown below) choose F to list queries for Tagging. In addition, choosing F here will also show any queries created so far on this date by others:

Note that there are other queries listed, in addition to the "ACT2.TXT" file just created. If you had created several queries today, they'd all be listed here. Incidentally, if you accidently download the same query file twice, the second copy will be renamed. In the case of ACT2.TXT, the last letter will be changed (ACT2.TXU), to guarantee the first copy isn't erased.

Because these are "DOS only" files (not files uploaded by anyone), there are no descriptions (such as those for other files in the file libraries). If you try to view details on a highlighted file by hitting <ENTER>, you'll see the following error message:

CTRL-T downloads tagged files.

 Now tag your query file ACT2.TXT. Highlight it by typing either its letter in the left column, or by using the arrow keys. Then hit the Space Bar. You'll see the Tagged file(s) marked with astericks (*). The upper right corner of the menu will keep track of how many files you've Tagged.

The BBS Users Database--Database #8--is fundamentally different than the others on the Database Menu. This database doesn't access the Doorway to an external database, and it doesn't create a file for download. But you can look up every currently registered user of AJLI Info-System, and search by any of three fields: First Name, Last Name, and League/SPAC number or other extension.

From the Top (Main) Menu, choose the menu letter for AJLI Databases, followed by <ENTER>. This is the Database Menu:

 Type 8, <ENTER>, for the Users Database. You'll then see:

This function allows you to look up other BBS users based on any/all
of the following criteria: First Name, Last Name, League/SPAC # or
Extension. You do not need to know the exact spelling of a name.
You can enter the first few characters of any field. For example,
if you type AN it will display all ANne, ANnette, or ANderson, etc.
You can also enter a League/SPAC #, or Extension in the appropriate
space to receive a list of all users in that group.

You may leave any two of the three search criteria blank if you lack
the requested information.

You may eXit this function at any time by entering 'X'.

Enter First Name:

 You may then input information for any or all of the three fields--each time followed by <ENTER>:

 Enter First Name:

Enter Last Name :

Enter League/SPAC # or Extension:

 As with other databases, entering only partial details will list more information--in this case, more AJLI Info-System users.

For instance, leaving the First Name and Last Name fields blank, and entering "bod" for the League/Spac # or Extension field, will list all the Board of Directors who are currently registered on AJLI Info-System.

On the other hand, if you just type "andy" in the First Name field, and leave the Last Name and League/SPAC # or Extension blank, the database will list my name:

 In this way you can quickly look up League/SPAC members and Association personnel.

In the Library BBSDOCS (at this writing, Library menu choice G) you can find the files:
LGLISTAL.TXT--League IDs alphabetically listed
LGLISTID.TXT--League IDs listed numerically
and STATES.TXT--Leagues listed alphabetically by state.
You can use these as references for League/SPAC ID numbers.
